Privacy Policy

Notes is a collaborative note-taking app that runs inside Root communities. This policy explains what the app handles when you write, share, and edit notes together, and how that information is used.

Effective

Scope

This policy applies to the Notes app (the "app"), published by spencerdev on the Root platform. The app runs inside Root communities. Your Root account itself, including your email address, login credentials, and device permissions, is managed by the Root platform and covered by Root's own privacy policy, not this one.

Information the app receives

Profile information from the Root platform. When you use the app, it receives your platform user ID, nickname, profile picture, and online status from Root. The app does not receive your email address, phone number, or location, and it does not request device permissions such as camera, microphone, or contacts.

Notes and their content. The app stores the notes you create: their text, folder structure, titles, and formatting, along with the individual edits you make. Each note and edit is associated with your user ID and the community it belongs to.

Version history. To let you review and restore earlier drafts, the app keeps snapshots of a note's content over time. These snapshots record what changed and who was editing.

Live editing signals. While a note is open, the app processes your cursor position, text selection, and keystroke-level edits so collaborators see changes in real time. These signals are transient and used to keep everyone's view in sync.

Permission settings. When you share a note, the app stores the access rules you set: which members or Root community roles can view or edit it, and whether a note is kept private to you.

How information is used

Information is used to operate the app: displaying your profile next to your edits, saving your notes and folders, synchronizing real-time edits between collaborators, showing who is present in a note, keeping version history so you can restore earlier drafts, and enforcing the sharing permissions you set. The app does not use your information for advertising, and does not contain analytics or advertising SDKs.

Collaboration and visibility

Notes is collaborative by design, so what you write can be visible to others depending on how a note is shared.

Shared notes. When you give a member or a Root community role access to a note, the content you write, your edits as they happen, and your nickname and profile picture are visible to everyone who can open that note.

Live presence. While collaborators have the same note open, they can see each other's cursor and selection position in real time. This presence information is not stored after the editing session ends.

Private notes. A note kept private stays owner-only. Its content is not shown to other members, including community administrators, unless you choose to share it.

Access is checked on the server for every action, so a member only receives the content of a note they are allowed to open.

Where information is stored

App data is stored in a database hosted by the Root platform, scoped to the community where the app is installed. Notes are written to that database shortly after you edit them, and version snapshots are kept alongside them. The app does not maintain its own separate servers or copy your notes to any outside storage.

Sharing and third parties

Other community members. Content in a shared note is visible to the members and roles you grant access to, as described in Collaboration and visibility, along with your nickname and profile picture.

The Root platform. Because the app runs on Root and stores data in Root-hosted infrastructure, your notes are handled by the Root platform in order to provide the app to you.

Your information is not sold, and is not shared with advertisers or data brokers.

Retention and deletion

Notes and their version history are retained for as long as the app is installed in a community and the data is needed for the app to function. Deleting a note removes it from active use, and removing the app from a community removes its notes from that community. To request deletion of specific data associated with you, contact the address below.

Security

Data is transmitted between the app and the Root platform over encrypted connections. Sharing permissions are enforced on the server for every request, so notes are only delivered to members who are allowed to see them. Private notes remain owner-only at the server level.

Children's privacy

The app is not directed at children under 16, and no personal information is knowingly collected from them beyond the profile information provided by the Root platform. If you believe a child's personal information has been provided to the app, contact the address below and it will be deleted.

Changes to this policy

This policy may be updated as the app changes. Updates are posted on this page with a new effective date. Material changes will be noted in the app.
